Importing Requirements from Excel File

Overview

Import requirements from Excel to create new test assets or update existing ones through re-import. During import, the system creates a new folder for each sheet and organizes the requirements accordingly.

Note

Keep the file size within the recommended limit of 10 MB when uploading.

Best Practice:

To import requirements from Jira, then refer to Sync Requirements and Issues from Jira.

 

Fresh Import of Requirements from Excel File

Fresh import refers to importing new requirements that do not exist in the system. As a first-time import, QMetry creates the test assets as version 1.

To proceed with the import, first convert the data into the system format.

 

Converting Data into System Format

Download the requirement template and enter the data to import. Use comma-separated values for fields with multi-lookup lists. Ensure each column in the Excel file matches a corresponding field in QMetry.

Most columns in the Excel file should map to the existing system fields. For any columns left unmapped, define those fields as User Defined Fields from Manage Fields section under Administration.

 

Importing Requirements from Excel

To Import Requirements from excel, perform the following steps:

  1. Go to the Requirements module.

  2. Click the cog icon 

    and select Import.

It opens QMetry Import wizard showing the following stages of import:

  1. Upload Source File

  2. Map Fields

  3. Select Import Folder

 

Step 1: Upload Source File

Browse the file and upload it to import. Select at least one sheet of the Excel file.

Note

If an “Invalid file” message appears while uploading an Excel file, open the file in Microsoft Excel, save it as an “Excel Workbook” with a new name, and then try importing the new file.

The file name appears adjacent to the Choose File button.

  1. Select XLS Sheet: The drop-down displays all sheets available in the Excel file. You can select one or more sheets for import. Make sure to select at least one sheet that contains the requirements.

    • Importing Multiple Sheets: While importing multiple sheets, the system uses the first sheet to set field columns for field mapping. Ensure all the sheets have the same columns and format.

    • Header Row: Enter the row number to set it as the header row. The system imports all rows below it.

  2. Click Next.

Step 2: Mapping the Fields

Fields from the Excel file appear under Sheet Field, and QMetry fields appear under QMetry Field. Map each Excel field to its corresponding QMetry field. The system highlights mandatory fields in red.

Removing Field Mapping

If a field was mapped incorrectly, you can remove the mapping individually.

To remove a specific field mapping, open QMetry Field and select the Select QMetry Field option.

 

Step 3: Save Mapping

Save the field mapping to reuse it during future re-imports with the same format.

Click the Save Map button, enter a name for the map, and save it. You can use the saved map for future imports. To reuse the mapping, select the saved map name. The system automatically applies the same field mapping.

 

Additional Mapping Options

  • Auto Map: Map the system and custom fields automatically by using keywords in the header names.

  • My Mappings: The drop-down displays all mappings saved by the logged-in user during requirement imports. If a map name is selected, it indicates the mapping currently in use.

Click Next to proceed.

 

Step 4: Selecting Import Folder

Select the destination folder for importing the requirements. Once you select a folder, the Selected Path displays the destination folder path.

To create a new folder, select the desired location, enter the folder name in the text box, and click the Add Folder button.

  • Create folder with sheet name: Select this option to create folders based on Excel sheet names. The system creates a new folder for each sheet within the file and import test cases into the respective folders. This helps identify which sheet each set of requirements came from.

  • Import with Warning: Select this to import requirements with a Summary longer than 255 characters. The system automatically truncates the Summary to 255 characters. If the checkbox is not selected, the import will fail if any requirement exceeds the character limit.

Click Finish to complete the Import wizard and start the import process.

After completing the import wizard process, the import process gets scheduled. A confirmation message appears, and you can track the progress in the notification window on the application header.

This allows the scheduled import to run in the background while the user continues with other tasks.

Re-import Requirements from Excel File

You can export requirements from QMetry, update them in Excel, and re-import the file. This allows bulk modification of existing requirements when bulk edit is not available. Each re-import updates the requirements and increases their version by 1.

You can export test cases through Bulk Operations which provides options to Export as XLSX and Export as CSV. Refer to Exporting Requirements for more details.

Note
If the re-imported requirements include issues imported from Jira, those issues will not be updated during the re-import process.
